What are AI agents? A plain-English answer
Updated 2026-07-25
The word of the year, defined
Every AI product this year is suddenly an agent. The word means something specific, and it is worth having the plain version before somebody sells you one.
An AI agent is software that uses AI to finish a job. Not answer a question about the job. Finish it. You give it a goal, like “chase every invoice over 30 days,” and it works in steps: look up which invoices qualify, draft each reminder in your voice, send them on your approval, watch for replies, flag the account that goes quiet. It uses tools, checks results, and keeps going. IBM’s definition comes down to the same core: software that can act toward an objective on its own, rather than generate one reply and stop.
That last part is the whole difference. A chatbot is a conversation. An agent is an employee-shaped loop: goal, steps, tools, check, repeat.
Why the distinction matters to your wallet
Chat is cheap. Twenty dollars a month gets you a very good one, and if what you need is faster writing and thinking, stop there and keep your money. We say exactly that in should you just use ChatGPT.
Agents are not cheap, because the intelligence was never the hard part. An agent is only useful when it is wired into the systems where your work lives, your inbox, your job board, your invoicing, and wiring is software work. It also needs guardrails, because software that takes actions can take wrong ones. A real agent deployment always defines what it can touch, what it must ask before doing, and what a person reviews. That is not a weakness of the technology. That is what a responsible build looks like.
So when something priced like a chatbot is marketed as an agent, apply the test: what does it actually do in your systems without a human typing? If the answer is nothing, you are looking at a rebrand.
Where to start
Pick a job, not a technology. The good first agents in a small business are boring on purpose: lead research before every sales call, invoice chasing, inbox triage, renewal tracking. Clear steps, clear done, real hours saved every week, easy to check while trust builds.
If you have a job in mind and want to know whether an agent is honestly the right shape for it, or whether a simpler automation gets you there for less, that question is exactly what the assessment answers. For the build-or-buy-help decision that follows, see hire a consultant or do it yourself.
